Managing Shopify Orders: Common Scenarios and Solutions

The Shopify integration with Erplain allows for smooth synchronization of essential order-related information.

Whether it is a payment received or a shipment made, everything is automatically reflected in Erplain. 
The scenarios below can be useful to understand how synchronization occurs between Erplain and Shopify and how the data appears on both platforms.

Note: It is important to note that sales/orders made on Shopify are managed on Shopify, and Erplain simply imports the data.

1- The invoice shows a “Paid” status but without showing a “Product Returns”:


This indicates that the order on Shopify has been paid for but not refunded, as it has not been processed:


2- The invoice shows a “Paid” status with a “Product Returns”:

This indicates that the order on Shopify has been paid for and refunded:


3- The invoice shows a “Canceled” status:


This indicates that the order on Shopify has not been paid for and has been canceled:


4- The invoice shows a “Canceled” status, and there is a Delivery Note:


This indicates that the order on Shopify was processed but not paid for and was canceled:


5a- The invoice shows a “Paid” status, with a Delivery Note, and the Delivery Confirmation (BDC) is marked “Automatically Completed”. However, a return was initiated in Shopify:


The return is in progress, without a refund:


5b- The invoice shows a “Paid” status, with a Delivery Note, and the BDC is marked “Automatically Completed”. However, a return was initiated in Shopify:


The return has been completed, but without a refund; nothing changes in either Shopify or Erplain because Shopify does not handle credits, so a refund must be made in Shopify to complete the return of the goods:


5c- The invoice shows a “Paid” status, with a Delivery Note, and the BDC is marked “Automatically Completed”. However, a return was initiated in Shopify:


Note: As indicated in 5b, the change in Shopify and Erplain only happens after the return and refund (both done simultaneously in Shopify). Here, we can see the product return appearing in Erplain.


6- When the Products from the order in Shopify have been Processed and Paid, but there is a return and a refund:
